6.1 Purpose: Monthly Green Team programs aim to educate residents about our South Sound bioregion (its natural and cultural history), about environmental issues facing this region, and about sustainability issues and practices applicable both to individual residents and the Panorama organization and its operations. We want to deepen residents’ awe and wonder about the living world around them and to motivate them toward sustainable values and practices where they live and play.
6.2 Monthly Program Schedules and Venues: Green Team programs are offered every month except July, August, and December. They generally take place at 3 pm on the second Tuesday of the month in the Quinault Auditorium. However, if the program is a film or a presentation that we think will attract a large audience, we request space in the Panorama Auditorium, often at 1:30 pm on the second Tuesday. (The shift to the 1:30 time has to do with the availability of volunteer ushers for a Panorama Auditorium event.)
6.3 Types of Programs and Patterns of Attendance: See the document, Summary Green Team Programs 2024-26 to see the variety of programs offered. Panorama Auditorium programs and natural history programs tend to attract larger crowds.
6.4 Future Programs List: The document GT-Programs and Field Trip Suggestions lists suggestions for future programs and field trips. This document can serve as a list of ideas to both the Green Team program leaders and for the Steering Committee’s review and suggestions. 6.5 Planning for a Program: It is a good idea to have a program calendar and speakers/films lined up at least three months in advance, in order to prepare publicity and reserve space. We generally reserve the Quinault Auditorium with LED Services for every second Tuesday of the month at 3 pm (except in July, August and December) and can cancel this reservation if we are arranging for a Panorama Auditorium program instead. We reserve the Panorama Auditorium with the Auditorium Manager.
6.6 Payment to speakers, or their organizations: Our budget/funds from Resident Council appropriation has funds for compensating speakers. Speakers who are elected officials, tribal representatives, local, state, or federal government staff do not expect payment for speaking at Panorama. If a speaker represents a non-profit organization, such as Heather Trim with Zero Waste Washington or Shannon Rio of the Klamath Bird Observatory, it has been our practice to make a contribution (generally $100) to their organization in thanks for their time. If a speaker is a freelance writer, such as Ben Goldfarb, we have asked them what their fee is. Often, we don’t have the funds to pay them more than $250. If the speaker is presenting on a recently published book, it has been the practice of the Panorama Library Association to give the speaker a choice to have the opportunity to sell their books at the talk, or to receive an honorarium. We believe that this is an appropriate practice.
Payment is made by a Green Team member directly to the speaker or their organization. The Green Team member will then ask the Green Team treasurer to arrange for reimbursement. The treasurer submits paperwork to the Resident Council office, which carries out the reimbursement through deducting that amount of money from the resident’s monthly Panorama bill.
6.7 Quinault Auditorium Room Set-up and AV Support: We have used two different room setups for Quinault Auditorium presentations. See the PDFs, Green Team QA Setup for Stage Zoom and QA Room Setup for Wall Presentation. About 10 days in advance of the program, we email one of these room setup designs to LED Services. We have found that with larger audiences, the chairs in a wide circular facing the wall AV screen enables more of the audience to be closer to the screen to see what is displayed.
There are directions for setting up the screens and AV cords in a plastic holder on the wall of the Quinault Auditorium to the right of the stage. The directions are fairly self-explanatory, but if you are new to the systems, contact LED Services for a demonstration and run-through, so you are confident on the program day.
In the back of the room are roving microphones in one of the cabinets. Definitely use a mic to introduce the speaker and ask the speaker to use a mic. Coach them about proper mic use if they are speaking too far away from the mic.
If there is a Question & Answer session following the presentation, two or three volunteers will have mics to hand to the people asking questions.
6.8 Program Publicity: Each program or film showing is publicized through the following channels:
- A description of the program and bio information about the speaker is presented on the Green Team page in Panorama News
- Announcements of the program and reminders are sent to the Green Team “members” via email messages.
- Two weeks before the event, information is submitted for a Kya announcement and for Panorama TV’s Readerboard. A reminder Kya announcement is sent a few days before the event.
- Information is also sent to Panorama TV’s NEWS Show
- Two weeks before the event, flyers are posted on bulletin boards in Pan Hall, in the three apartment buildings and in the three mailbox areas in Holladay Park.
6.9 Reminders for the Emcee:
- Introduce yourself and mention your Green Team role (Steering Committee, Green Team member, Program Committee member, etc.)
- Express thanks to all for coming
- As appropriate, announce upcoming Green Team programs and field trips in the next two months and encourage people to watch for more details in the Panorama News.
- Encourage newcomers to sign up on a clipboard (point to it or hold it up) if they would like to be on the Green Team mailing list. Use the document GT Mailing List Sign up Sheet
- Introduce speaker.
- Field Q&A questions as appropriate. If necessary, coach the speaker to repeat or summarize each question before answering it!
